A clear scope.
Defined responsibilities.
Guidelines for training, support, integration and project delivery.
Version CX-CS-20261025-01 · Revised October 25, 2026.
A proposal before any commitment
A form, questionnaire or introductory meeting is not an order. Before paid work begins, the proposal specifies the work, price, timeline and applicable terms. Acceptance covers that proposal and its dated attachments. Previously accepted commitments remain in force; website updates do not change them retroactively.
Scope, deliverables and exclusions
Work may include training, ChatGPT or Claude integration, support or a specific deliverable. The proposal defines objectives, tasks, file formats, meetings, tests, revisions and exclusions. Assistant profiles are examples, not an all-inclusive service list.
Software connections, APIs, automation or work across multiple departments require separate scope and permissions. Activities requiring professional qualifications are reviewed before acceptance. Configuration alone is not a security audit, full privacy impact assessment or legal opinion.
Timelines and collaboration
Deadlines depend on the agreed work and required inputs. The client identifies contacts and supplies authorized documents and agreed approvals. Access requirements, duration and removal are agreed together; you retain your accounts and passwords.
Changes to scope or deliverables require written agreement on impacts, including fees and timelines, before additional work begins. Included services are not charged twice.
Free initial trial project
This offer is for eligible new clients, for one initial professional trial project worth up to CA$300. Requests must be received by January 1, 2027, inclusive. Eligibility and acceptance remain subject to Cosmologix’s assessment.
The need, deliverable and limited trial scope are agreed in writing before work begins. Website creation and monthly services are excluded. The free trial is not a credit toward a future invoice.
Work beyond the accepted scope, additional projects and any third-party costs require a separate proposal and your explicit agreement. No paid service starts automatically. Privacy requirements, permissions, checks and applicable rights continue to apply.
Prices, taxes and payment
Our individual training services and Web services show indicative rates on their respective pages. The proposal specifies scope, amounts in Canadian dollars, applicable taxes, authorized costs and the total payable. Other services are priced by proposal. Travel and additional costs require prior agreement.
Payment methods and deadlines are specified before acceptance. This page sets no deposit or late-payment fees. Mandatory consumer protections, including distance-contract rules, continue to apply.
Rescheduling, cancellation and completion
To reschedule or end a project, write to info@cosmologix.ca. Rescheduling, cancellation and refund terms are specified in the proposal before commitment, subject to applicable legal rights. This page establishes no penalty schedule or blanket no-refund clause.
At project end, we identify completed work, delivered files, accounts and access to close, and document handling under applicable obligations. These terms do not remove statutory termination rights.
Supplier tools and costs
ChatGPT, Claude and other agreed subscriptions are separate from Cosmologix fees unless explicitly included in a proposal. Features, limits, prices and supplier terms may change. Appropriate plans and settings are reviewed with the client; two subscriptions are not always necessary.
Accounts belong to the client. Training does not include participant licences. Supplier terms do not release Cosmologix or the client from their own obligations.
Privacy and authorized documents
Initial inquiries must remain general and contain no sensitive information. Before project data is used, we agree on data categories, authorized people, tools, transfer channels, retention and access termination. Client permission does not replace checking their rights and authorizations for third-party documents and information.
Form processing is explained in the privacy policy. Tests prioritize fictional or strictly necessary data. Removing a name does not guarantee anonymity.
Rights to deliverables
The proposal specifies delivered files and agreed rights to use, modify or share them. Client documents, Cosmologix’s pre-existing materials and third-party content remain subject to their respective rights and licences. AI generation alone does not imply an exclusive intellectual property transfer. Public or promotional reuse of client work requires separate permission.
AI, verification and responsibilities
AI tools can produce errors, omissions or inaccurate references. Important results must be checked against context, sources and risk. Cosmologix performs the agreed services; clients and their authorized staff retain their document, permission and decision responsibilities.
No particular productivity gain, funding, Google ranking or business result is guaranteed. This does not exclude Cosmologix’s obligations, statutory warranties or available remedies. This page imposes no blanket disclaimer or numerical liability cap. AI use or human review does not eliminate legal responsibilities.
Individuals and organizations
Individuals acting as consumers may have specific protections, including for distance contracts. Required information and a retainable copy of the contract must be provided under applicable rules. A proposal cannot waive these rights.
For businesses, organizations, municipalities and RCMs, proposals may be adapted to bidding procedures, purchase orders and internal authorizations. Legal protections depend on the actual relationship and scope of work.
Questions or disagreements
