Guidance

From your needs to confident use

We first clarify whether you want to delegate a project, equip your team with AI or combine both. Deliverables, tests and reviews are defined together.

To see how sources and checks appear in a deliverable, explore our fictional demonstration cases.

A clear path from needs to results.

  1. 01

    Describe the need

Explain the situation, available documents and expected result.

  2. 02

    Define the work

Scope, deliverables, pricing and terms are agreed before we begin.

  3. 03

    Deliver the service

The work is delivered, checked and ready to use.

Deliverables, meetings, training and adjustments are defined in your proposal. You keep your accounts and credentials. Previously accepted commitments remain applicable.

Inclusions and terms

Tools tailored to your work

An assistant helps you think and prepare answers. A supervised AI agent can carry out sequences of tasks using tools and access you authorize.

We build and test these agents on agreed cases, with instructions, a guide and human checkpoints. Sensitive actions require your approval.

The agreement defines tasks, connections, usage costs and limits. Results require verification; the agent does not replace your judgment.

Who prepares? Who reviews? Who decides?

Cosmologix

The work, tests and documentation defined in the proposal.

You and your responsible staff

Authorized documents, permissions, competent review and decisions.

Measure the complete workflow

We compare before-and-after time, including preparation, verification and corrections. We also examine errors, omissions and source quality.

Gains vary by task and document. No return is guaranteed. Formal reviews or ongoing monitoring are specified in the agreement.

Six precautions for your project
01

Necessary data

Define information needed for each use and prefer fictional test data. Remove unnecessary information; masking names does not guarantee anonymity.

02

Truly limited access

Have responsible staff approve users, permissions and sharing. Separate sensitive files, particularly HR, and plan access removal.

03

Tools reviewed with you

Check provider terms, data use, retention, processing locations and security options before entering information.

04

Verifiable results

Identify sources and versions, flag uncertainty and define reviewers. Test possible errors on agreed cases.

05

A defined lifecycle

Agree retention and destruction rules with responsible staff under applicable obligations. Identify records to retain in official systems.

06

A planned response

Define incident reporting, how to stop problematic uses and what evidence to retain for review.

Subscriptions, data and permissions: what to check

Terms vary by plan. Before documents are uploaded, Cosmologix reviews settings, data use, retention, processing locations and access with your staff. No training use does not mean no retention.

Before use, check the exact subscription, settings, retention, processing locations, subprocessors and access. Plan named accounts, stronger authentication when available and role-appropriate permissions. Training excludes participant licences.

Files and web pages may contain misleading instructions designed to redirect the assistant. Instructions alone are insufficient: restrict access, control tools and require approval for sensitive actions. Third-party connections also require reviewing their terms.

Cosmologix and the client define respective responsibilities, temporary access, transfer channels and end-of-project document handling. Using an AI provider does not remove either party’s obligations.

Law 25: considerations for implementation

Law 25 modernized Quebec’s privacy rules. The applicable framework depends on whether the organization is public or private, information types and intended uses.

A privacy impact assessment is required, notably, for acquiring, developing or redesigning an information system or electronic service involving personal information. Its application, risks and safeguards must be assessed with competent staff.

Cosmologix can document planned uses, sources and data flows to support that work. Full privacy impact assessments, security audits and legal opinions are not included in configuration services.

Access to information: support the responsible officer

Requests for public body records, personal information access or correction follow the designated officer’s process. The assistant can inventory records, prepare follow-up and draft responses or proposed redactions.

The officer checks deadlines, restrictions, third-party rights and decision grounds. A document being internal or AI-assisted does not alone determine accessibility. No automatic disclosure or correction occurs.

What the support can establish

Within agreed scope: authorized sources, usage instructions, review steps and documented tests. Available technical controls depend on your environment and require IT validation.

AI instructions do not replace technical permissions. A subscription, configuration or human review alone does not guarantee Law 25 or other compliance. Cosmologix claims no compliance certification or absolute security guarantee.
